We have recently installed a new software package within Salesforce called DupeBlocker. This new software will help in our efforts to avoid creating duplicate Accounts, Contacts and Leads. As a realtime duplicate preventer/detector, DupeBlocker works directly within the Salesforce User Interface notifying you immediately when a duplicate has been detected. Duplicates to Accounts, Contacts and Leads can all be detected as well as Lead to Contact and Lead to Account matches.
DupeBlocker works based on Duplicate Scenarios that run behind the scenes. These scenarios have been customized based on the fields that we feel determine a duplicate based on our business model. We have developed scenarios that in some cases will block a record from being added altogether because it was determined to be a strict match to an existing record based on a number fields. In other cases a warning will be generated alerting you that a potential duplicate was detected.
In the event of a blocked insert you will receive a custom message indicating why the record was considered a duplicate along with a link to the identified duplicate record.

A new related list has been added to the Accounts, Contacts and Lead Screens in Salesforce called "DupeBlocker Potential Duplicates". In the event of a potential duplicate being detected you will notice a new record added to this related list alerting you that a potential duplicate has been detected. The DupeBlocker Potential Duplicate record will contain a link to a Warning which will list all the records considered to be potential duplicates. The warning will also identify the DupeBlocker Scenario that triggered the warning.

You may also receive a pop-up message indicating that a Task has been created alerting you that a warning was just created.
Once you have been notified of the Warning, you can review the list of potential duplicates and determine if the records should be merged, or that a duplicate was incorrectly identified.
If you wish to merge the duplicates simply click the Merge/Convert duplicate button from within the warning. This will bring up a merge screen with all the duplicate records.

If you determine the records are not in fact duplicates you can delete the warning. If you do not have permission to delete the warning (no delete button available when you access the warning), you will need to notify a System Administrator and request that the warning be deleted for you.
